About ChimeHive
Can ChimeHive build the reports we need?
Yes. We can build whatever report your business needs, from job costing and margin to payroll, attendance and leave. Just let us know what you want to see and we'll set it up for you. Email hello@chimehive.com or book a 15-minute consultation. See Reports for the reports included as standard.
What is ChimeHive?
ChimeHive is a cloud-based workforce time-tracking and attendance system for businesses with hourly or shift-based staff. Employees clock in and out at a shared kiosk using facial recognition or a staff number and PIN. Managers and admins see live attendance, correct timesheets, manage leave, track time against jobs and projects, and export payroll-ready hours. ChimeHive was formerly known as ClockUp.
Who is ChimeHive for?
ChimeHive is built for manufacturing and fabrication teams, and suits any business with on-site staff that needs accurate clocking and payroll hours, such as construction, workshops, warehouses and service businesses. It is ideal where staff share a tablet or terminal at the entrance.
What devices does ChimeHive run on?
Any device with a web browser, with nothing to install. Most teams mount a tablet or touchscreen on site as the clock-in kiosk, with large on-screen keypads. Managers use ChimeHive on any desktop, laptop, tablet or phone. A kiosk device can be set to "Remember me" so it signs in to your company account automatically each morning.
Does ChimeHive integrate with our other systems?
Yes. ChimeHive has an API, and we set up integrations with your payroll, MIS, ERP and accounting systems for you. Custom integrations are part of the Pro plan. ChimeHive also exports hours as CSV and Excel files. Email hello@chimehive.com to talk through your setup.
Where is our data hosted?
ChimeHive is hosted on secure Amazon Web Services (AWS) infrastructure. Facial recognition also runs on AWS, so your data and facial IDs are stored and managed by AWS.
Is my company's data kept separate from other customers?
Yes. Every user, clock event and record belongs to one company, and each company can only ever see its own data.
Clocking in and out
How do employees clock in with ChimeHive?
Employees walk up to the ChimeHive kiosk and sign in with facial recognition or their staff number and PIN. Signing in clocks them in, and a status bar confirms "Clocked in". If your company tracks jobs, the employee then picks the job they are working on. After every action the kiosk signs the employee out automatically, ready for the next person.
How does facial recognition clock-in work?
The employee presses "Facial recognition" and looks at the kiosk camera. ChimeHive matches their face and clocks them in within seconds, with no card, fob or PIN needed. The first time an employee signs in with their PIN, the kiosk invites them to register their face with a short guided photo capture. Admins can make face login mandatory for an employee, or reset a person's facial ID from the Users page.
Can employees clock in with a PIN instead of their face?
Yes. Employees can choose "Use PIN", enter their staff number and then their PIN on the on-screen keypad. PIN and face login can be used side by side, so staff who don't want to use facial recognition still have a quick option. Facial recognition also helps stop "buddy punching", where one employee clocks in for another.
Can I make sure staff only clock in at the kiosk?
Yes. The kiosk signs in with your company's login, so only devices you set up can open it. Keep the company login details to yourself and staff can only clock in at your kiosks.
Can employees record breaks and lunch?
Yes. Once clocked in, employees can press "Start break", "Stop break", "Start lunch" and "Stop lunch" on the kiosk. Breaks and lunches can't overlap. Admins can hide the break or lunch button in Company settings if your workplace doesn't use them.
Can breaks and lunches start and end automatically?
Yes. In Company settings, admins can create auto break and lunch schedules, for example a break from 10:00 to 10:15, Monday to Friday. At the start time ChimeHive puts everyone who is clocked in on break, and at the end time it brings them back. You can add as many schedules as you need, choose the days for each, and times follow your company's timezone.
Can the kiosk play a sound when someone clocks in?
Yes. Turn on "Clock ping sound" in Company settings and the kiosk plays a short chime after each clock-in, clock-out, break, lunch or job change is saved. Staff get audible confirmation without looking at the screen.
Can employees see their hours when they clock out?
Yes. With the "Clock-out summary" setting on, employees see a "Your hours today" screen after clocking out. It lists each clock event, every job worked with start and end times, total time worked, and break and lunch totals. It is read-only, and employees are asked to tell their manager if anything needs correcting.
Can employees view their own attendance history?
Yes. Employees can open Attendance logs from the kiosk menu to see their own records, read-only. They can also receive a weekly email summarising last week's hours (see Weekly hours summary email).
Is the kiosk secure on a shared device?
Yes. Employees are signed out automatically after each action and after 15 seconds of inactivity on the kiosk. Leaving kiosk mode on a device requires the company admin password.
Geolocation and GPS location capture
Does ChimeHive record where employees clock in?
Yes, if your company has location tracking enabled. ChimeHive then records the GPS coordinates of the device with each clock event, along with how accurate the reading was. Admins and managers can see the location, for example "53.34981, -6.26031 (±12m)", in the details of any clock event under Attendance logs.
What happens if an employee denies location permission?
The clock event is always saved, because location capture never stops anyone from clocking in or out. If the browser's location permission is denied, the record shows "Denied by user", so managers can see why there are no coordinates. If a location couldn't be obtained in time, it shows "Not captured".
Does ChimeHive support geofencing?
Yes. We can set up geofencing for you on our Pro plan. On every plan, ChimeHive records the location of each clock event so you can review it later. Email hello@chimehive.com to discuss what you need.
How do I turn on location tracking?
Just ask and we'll switch it on for you. Email hello@chimehive.com. The kiosk device's browser will then ask once for permission to use its location.
Automatic clock-out
What is automatic clock-out?
Automatic clock-out closes off shifts for employees who forget to clock out. You set a daily cutoff time, for example 18:00, and ChimeHive clocks out anyone still clocked in at that time. This stops shifts running overnight and inflating payroll hours.
How do I set up automatic clock-out?
Go to Admin, then Company settings, switch on "Auto clock-out", choose the cutoff time and click "Save changes". The time uses your company's timezone and applies every day of the week.
What time is recorded when someone is automatically clocked out?
The clock-out is recorded at the cutoff time you set, not the moment the system ran. Anyone who clocks in after the cutoff time is not affected that day.
How do employees find out they were automatically clocked out?
The next time the employee signs in at the kiosk, they see a message: "You were automatically clocked out". It asks them to tell their manager their real finish time so their record can be corrected, and they must press "Acknowledge" to continue. They also receive an email showing when they were clocked out, when they acknowledged it, and how many automatic clock-outs they have had in the last 7, 30 and 90 days.
Can I see who is forgetting to clock out?
Yes. The "Auto clock-out log" report lists every automatic clock-out with the time it happened and when the employee acknowledged it. A summary view counts automatic clock-outs per employee over the selected period and the last 7 days, 30 days and 3 months, making repeat forgetters easy to spot. Automatic clock-outs are also shown in bold in the weekly hours summary email.
How do I correct an automatic clock-out time?
Open Attendance logs, find the employee and day, and click edit. You can change the clock-out to the employee's actual finish time and save. Every change is recorded in the log's edit history.
Weekly hours summary email and notifications
What is the weekly hours summary email?
It is an automatic email that tells each employee the hours they worked last week. It lists each day with every clock event (in, out, break and lunch times), hours worked per day, and a weekly total. Employees are reminded to report any missed or incorrect hours to their manager promptly, so payroll errors are caught before pay day.
How do I turn on weekly summary emails?
Go to Admin, then Company settings, switch on "Weekly hours summary email", pick the day of the week and the time to send it, and click "Save changes". The email always covers the most recent full Monday-to-Sunday week, and the send time follows your company's timezone.
Who receives the weekly summary email?
Every active employee and manager who clocked in at least once that week, unless they've opted out. Admins can switch the email on or off for each person on the Users page. Employees and managers can switch it off for themselves under Settings.
Do the hours in the weekly email match payroll?
Yes. The email uses the same rules as your payroll extract, including paid or unpaid breaks and lunch and 15-minute rounding if you use it. Employees see the same figures you will pay from.
What other emails does ChimeHive send?
ChimeHive emails employees, approvers and supervisors when leave is requested, approved, rejected or deleted. Employees are also emailed when they acknowledge an automatic clock-out. Emails come from noreply@chimehive.com.
Job tracking and work listings
Can ChimeHive track time against jobs, projects or tasks?
Yes. With work listings, employees choose what they are working on when they clock in, for example Customer, then Project, then Stage, then Task. ChimeHive records exactly how long was spent on each job. Employees can switch jobs during the day from the kiosk, and every change is timestamped.
How many levels can a job listing have?
As many as you need. You can track time as broadly or as granularly as your business works, and name each level to suit you, for example "Customer", "Job", "Stage", "Item" and "Task". You can also set up different levels and job lists for each department.
How do I add job listings in ChimeHive?
- Go to Admin, then Work listings.
- On the "Hierarchy setup" tab, click "Add row" to define your levels. For each one, choose the department, enter the level number and a label such as "Customer", then save.
- On the "Work listings" tab, click "Add work listing". Choose the department and enter a value for each level, for example "Acme Ltd", then "Warehouse fit-out", then "Installation".
Each level unlocks once the level above it is filled in. Your new job appears on the kiosk straight away.
Can I import job listings in bulk?
Yes. On the "Work listings" tab, click "Upload CSV" to import many jobs at once. Use "Download CSV" to export your current list, edit it in a spreadsheet and upload it again.
How do employees pick a job on the kiosk?
After clocking in, the employee taps through tiles one level at a time, such as "Select Customer", then "Select Job". A breadcrumb trail shows their choices so far. They can go back a step, or tap "Save and exit" to record their selection. A confirmation message shows what they're clocked in to.
Can I see who is working on what right now?
Yes. In Time management, then Live activity, switch to "Active tasks" to see each employee's current job and time on task. In Company settings you can choose which job levels appear as columns in Live activity.
Can ChimeHive track rework?
Yes. With "Rework tracking" switched on in Company settings, employees are asked whether the work is a rework as the final step of choosing a job. Time spent on rework can then be reported separately.
How do I get work listings for my company?
We set up work listings for you, ready for your team to use. Email hello@chimehive.com and we'll switch it on.
Budget hours and job progress
What are budget hours?
Budget hours let you set the planned or quoted hours for a job and compare them with the real hours employees have clocked against it. You can see straight away which jobs are on track and which are over budget, so you can protect margins on quoted work.
How do I set budget hours on a job?
- Go to Admin, then Work listings, and open the "Budget hours" tab.
- Find the job using the department filter or search box.
- Type the planned hours into its "Budget" box, in steps of a quarter hour.
- Save your changes.
You can set a budget on a whole project, on individual stages or steps within it, or both. To remove a budget, clear the box.
What does the Budget hours table show?
For each job and stage, the table shows:
- Budget: the planned hours you set.
- Sub-budgets: the total of the budgets set on the stages beneath it.
- Actual: the hours clocked against it.
- Unallocated: time booked at that level but not to anything beneath it.
- Variance: hours remaining, or hours over budget, shown in red.
Filter by "Budgeted only" or "Over budget only" to focus on the jobs that need attention.
How do I track progress against budget?
Use the "Work progress" report under Reporting. It shows a progress bar for every budgeted job and stage, with actual hours, target hours and variance. Bars turn amber at 90% of budget and red when over budget. You can view all time, this year, or a custom date range.
Do budgets survive if I re-import my job list?
Yes. Budgets are linked to the job's name and position in your hierarchy, so re-uploading or re-syncing your job list keeps them. If a job is renamed and a budget no longer matches it, ChimeHive flags it in a warning card so you can recreate the listing or clear the budget. Hours already booked are never lost.
How do I get budget hours?
Budget hours works together with work listings, and we set it up for you. Email hello@chimehive.com and we'll switch it on.
Payroll, overtime and rounding
Does ChimeHive produce payroll-ready hours?
Yes. The Payroll extract in Time management gives one row per employee for any Monday-to-Sunday week. It shows baseline hours, time clocked in, paid leave by type, bank holiday hours, total hours, standard hours and overtime hours. Click "Export" to download it as a CSV file to send to your payroll provider or accountant, or we can set up an integration with your payroll system for you.
How does ChimeHive calculate overtime?
Each employee has weekly baseline hours, for example 40. Hours above the baseline count as overtime. The optional "Overtime offset" in Company settings adds extra hours before overtime starts: with a baseline of 40 and an offset of 2, overtime starts after 42 hours. The Daily pay summary report also shows daily overtime against each employee's daily hours target.
Can ChimeHive round clock times to the nearest 15 minutes?
Yes. Switch on "Round clock times to the nearest 15 minutes" in Company settings. Clock-ins round up and clock-outs round down to the nearest quarter hour, with a 4-minute grace period. For example, a 09:03 clock-in counts as 09:00 and a 09:05 clock-in counts as 09:15. Rounding applies to the payroll extract, the Daily pay summary and the weekly summary email.
Are breaks and lunch paid or unpaid?
You decide. By default, break and lunch time is deducted from paid hours. Switch on "Paid break" or "Paid lunch" in Company settings to count that time as paid in the payroll extract, reports and attendance logs.
Is leave included in payroll hours?
Yes. Paid leave such as annual leave, sick leave and parental leave, plus company bank holidays, is credited in the payroll extract at the employee's daily hours. It counts toward total hours. Unpaid leave is shown in its own column but not counted.
Can I export payroll to Excel?
Yes. The "Daily pay summary" report exports to a formatted Excel (.xlsx) file, with a page per employee showing target, clocked, standard and overtime hours for each day. The weekly Payroll extract and other tables export as CSV files, which open in Excel or Google Sheets.
Leave planner and holidays
Does ChimeHive manage annual leave and holidays?
Yes. The ChimeHive leave planner lets employees request leave and lets managers approve or reject it. Leave appears on a shared calendar, and annual leave balances update automatically.
What types of leave does ChimeHive support?
Annual leave, sick leave, parental leave, bank holiday, other paid leave and unpaid leave. Each request can be for a full day, a morning or an afternoon.
How does the leave approval process work?
The employee submits a request from "Request leave". The approver and the employee's supervisor are notified by email. A manager or admin approves or rejects it under "Approve leave", and everyone involved is emailed the result. Managers can also apply leave directly for an employee.
How are annual leave balances calculated?
Each employee has an annual leave entitlement in days. Approved annual leave is deducted on weekdays only, skipping company bank holidays, and a half day counts as 0.5. If approved leave is deleted, the days are returned to the employee's balance. Employees can check their balance in "My leave tracker".
How do I add bank holidays?
Under Leave planner, then Bank holidays, add dates one at a time, or paste a list of dates to add a whole year at once. Bank holidays are excluded from annual leave counts and credited as paid hours in the payroll extract.
Can I see leave in Outlook or Google Calendar?
Yes. Admins can create calendar feed links (iCal / webcal) for each department or for all departments. Subscribe to a feed in Outlook, Google Calendar or Apple Calendar and approved leave appears there automatically.
Can I see who is off on a given day?
Yes. Use the leave planner's calendar view or calendar list. People on leave are also marked in Attendance logs, so managers don't chase someone who is on approved leave.
Managers, roles and timesheet corrections
What user roles does ChimeHive have?
There are three roles:
- Employee: uses the kiosk, requests leave and views their own attendance.
- Manager: also sees live activity, the history log, payroll and reports, and can correct attendance for themselves and the people they supervise.
- Admin: has full control, including users, Company settings, work listings and attendance for everyone.
How do I add a new employee?
Go to Admin, then Users, and click "Add user". Enter their name, employee ID, role and department. You can also set their supervisor, PIN, email, start date, weekly baseline hours, daily hours, annual leave entitlement and site, and whether face login is mandatory. Then click "Add user". They can clock in straight away.
What happens when someone leaves the company?
Archive them from the Users page. They can no longer clock in, but their history is kept for payroll and reporting. You can restore an archived user at any time with the "Show archived" toggle.
Can managers fix missed or incorrect clock-ins?
Yes. In Attendance logs, managers and admins can edit any clock event's time or type, assign it to a different job, delete it, or add missing events such as a forgotten clock-out. "Add logs" lets you enter records for any employee and date. Managers can only edit records for themselves and their direct reports.
Is there an audit trail for timesheet edits?
Yes. Every edited or added clock event is marked, and its details show who made the change, when, the source of the original event and the full edit history. Corrections are labelled as an admin or manager correction.
Can I see who is clocked in right now?
Yes. Time management, then Live activity, shows everyone currently clocked in, on break or on lunch, with summary counts and filters by name, department and status. Anyone still clocked in from a previous day is flagged, and you can clock them out with one click. You can export the list to CSV.
Reports
What reports does ChimeHive include?
- Time analytics: a chart of hours clocked and leave taken by day, week or month, filterable by department.
- Daily pay summary: target, clocked, standard and overtime hours per employee per day, exportable to Excel.
- Weekly hours: hours per project and item for each week, broken down by employee, exportable to CSV.
- Work progress: actual versus budgeted hours for every job.

There is also a History log of all clock-ins and tasks, and the weekly Payroll extract. Need something else? We'll build it for you (see Can ChimeHive build the reports we need?).
Who can see reports?
Managers and admins. Employees see their own hours through the clock-out summary, their attendance logs and the weekly hours summary email.
